The difference
Stop adapting your business to your software.
Off-the-shelf SaaS gives you 50% of the features you don’t need and is missing the 20% you do. Operations software is the opposite: every screen maps to a real moment in your team’s day.
Your Process
Your Stack
A Real App
Your Operations Tool
Forces your team into someone else’s workflow
-
Mismatched features
Half you don’t need. The one you need isn’t there.
-
Workarounds everywhere
Spreadsheets fill the gaps. Tribal knowledge bridges them.
-
Tab-toggling tax
Three tools open. Copy-paste in between.
-
Paying for what you don’t use
Half the features you’ll never touch. All on your invoice.
-
Per-seat pricing
Pay more to grow into less of a fit.
Your team adapts to the software.
One app, shaped like your process
-
Every screen earns its place
If a button isn’t a real action, it isn’t there.
-
Sits on your stack
Airtable, Sheets, Stripe, your ERP. We integrate, not replace.
-
Multi-stakeholder
Studio, field team, clients. Each with the view they need.
-
Pay for what you actually need
You scope it. You pay for it. You own it.
-
Flat pricing
Fixed build cost. No per-seat. Yours to grow.
The software fits the team.
Replacing four tools with
one bespoke app.
Empire Green is a fashion photography production studio handling thousands of apparel and accessory shots per collection. The studio team, the shipments crew, and the clients all needed different things. None of it fit any SaaS on the market.
We built a custom web app that mirrors their production process end-to-end: collection sync from Sheets, product tracking through wardrobe → shooting → post-prod → completed, inbound and outbound shipments check-in, and password-gated client review. The app runs every workflow, integrated with Sheets for shot planning and Airtable for production data, and adds the control, audit trails, and client-facing portal that off-the-shelf tools couldn’t deliver.

“The most impressive thing about Costanera is their ability to understand a very niche business workflow they don’t have experience in and engineer a process that is more efficient than what I, as a business owner, have been doing for years. I wouldn’t hesitate to work with Costanera again.”

Our approach
Spine first. Modules second.
We watch the team work, build on the tools they already use, and ship a working app in week 2. Modules every week or two after that.
Map the operation
We watch the team work. Read their current tools: the interfaces, the spreadsheets, the chat threads. The product spec falls out of the real process, not a workshop.
Example process

Bespoke layer
Your custom app
Airtable Nothing migrates. The team keeps every tool.
Pick the stack you already use
Postgres, Supabase, or Airtable for the data spine, whichever fits. React + Tailwind for the UI. Your existing tools for everything else. We integrate, not replace.
Ship the spine in week 2
Auth, core data model, and the most painful workflow first. End of week 2, real people are using it.

Ship a module a week
Each module is a real workflow end-to-end. Mobile capture this week. Approvals next week. Always behind a flag, always reversible.
Capabilities
What every ops app needs to do.
A consistent toolkit underneath, whether the app sits on Airtable, Supabase, or your own Postgres.
Multi-role views
Internal team, field crew, and external clients each see what they need. Same data layer, different surfaces, different permissions.

Field
Today’s queue · mobile
Client
Read + approve only
Works for: any operation with 2+ distinct user roles. Internal team, field crew, external clients, partners.
Mobile capture
Phone-first interfaces for the field. Camera input straight to Box, Drive, or S3. Touch-optimized actions. Works on a job site, not just a desk.
Capture · upload
Works for: inspections, deliveries, audits, site visits. Any data captured outside an office.
Bidirectional sync with audit trail
Reads from and writes to the tools you already use. Every sync attributed, every change logged. The existing data layer stays untouched.
Audit log
14:32 · Sam synced 28 changes
10:15 · Alex updated 12 records
Works for: when the team can’t migrate but the data needs structure. Existing tools stay, the app gives them control.
Auth and external portals
JWT login for the team, role-based permissions. Password-gated public URLs for clients. Magic links for one-off shares. Every action attributed.
Works for: any operation with both internal users and external visibility. Clients, partners, contractors, public access.
Workflow automation
Status changes trigger the next step. Approvals route, notifications fire, deadlines escalate. The app moves work along while the team sleeps.
Works for: any workflow with stages, approvals, or time-based escalations. Onboarding, fulfilment, support routing, compliance.
Reporting and exports
Custom views per role. CSV, PDF, and scheduled exports. Shareable links to filtered datasets. The leadership-facing surface of every operation.
Works for: leadership dashboards, customer-facing reports, compliance exports, finance hand-offs.
Same toolkit underneath. Different shape every time. Every capability above is configured to your team’s workflow, your data, your edge cases.
More operations software we have shipped
Two more from the same playbook.
Different industries, different stacks, different processes. The pattern underneath is the same: sit on the tools they already use, build the surfaces they need.

Context
A German engineering consultancy runs the full lifecycle of state-funded energy efficiency projects: from first consultation through subsidy filing, document signing, and final invoicing in Lexware. Every project moves through 21 sequential stages, each one triggering its own emails, documents, NextCloud folders, and reminders. We built the operations layer that runs the whole thing.
What it does
- • Moves projects through 21 sequential stages automatically
- • Auto-generates proposals, declarations, signed documents
- • Bi-directional Lexware sync: invoices, quotes, payroll
- • Ingests inbound emails, auto-links them to the right project

Context
A US land investor sources rural parcels, sells them with owner financing, then services the monthly notes. Leads flow in from Land.com, LandFlip, Landmodo, Facebook Marketplace, and a direct site. Every deal becomes 1–3 contracts and a multi-year payment schedule. We built the Airtable-based operations layer that runs every step: AI lead extraction, CRM sync, contract generation, note servicing.
What it does
- • Captures leads from 5+ marketplaces, deduped + AI-parsed
- • Auto-syncs new leads into Follow Up Boss or GoHighLevel
- • One-click contract generation with e-sign tracking
- • Tracks every note, surfaces late payers, mails delinquency letters

Is this right for you?
Three conditions for success.
Operations software is high-leverage when the process is real. We turn down projects that don’t fit.
A real, repeatable process
Not exploratory work. Your team runs the same shape of operation every week (onboarding, fulfilment, review cycles), just with different inputs.
Same shape, different inputs every time.
Existing data and tools
You’re already on a stack that works. We integrate with what you have, we don’t green-field everything.
Connects with
We sit on the tools your team already uses.
Team that’ll actually use it
The owner sponsors it; the team helps shape it. The fastest projects are the ones where the operator is in the room every Friday.
Owner sponsor + the person doing the work, weekly.
Tick all three?
30-minute scope call. We map your operation and tell you what we’d ship in week 1.
